Volumetric weight and how it sets your freight bill
Carriers bill a shipment on whichever is greater: actual weight or volumetric weight. Volumetric weight is length by width by height divided by the carrier's dimensional factor. For light, bulky goods such as napkins and straws, the bill comes from volume almost every time.
How it is calculated
The three dimensions of the carton are multiplied in centimetres and divided by a factor set by the carrier. The result is a weight in kilograms. The factor varies by carrier and service, so the same carton can produce two different billed weights.
Why it dominates this category
Single-use tableware is low in unit value and high in volume. A carton of napkins weighs a few kilos and occupies considerable space, and air and express pricing is built on space. This is why freight here is not an incidental cost but the shape of the business model.
Three things that lower the bill
- Reduce void space inside the carton — a half-full carton is billed like a full one.
- Size cartons to pallet and carrier standards.
- Round order quantities to full cartons; a part-filled carton is the most expensive thing to ship.
Road, air and sea differ
Volume matters on road and in containers but the effect is softer. In air and express it sets the price directly. On large orders, changing transport mode can move unit cost more than changing the product does.
What to ask for in a quote
If freight is part of the price, ask for carton dimensions and units per carton. Without those two numbers freight cannot be calculated and quotes cannot be compared.
